Privacy Policy

This policy explains how Alberton Guesthouse handles personal information collected through reservations, enquiries, payments and direct communication.

Last updated: 13 September 2026

1. Who is responsible for your information?

Alberton Guesthouse is responsible for the personal information it collects and uses for its accommodation, day-visit, enquiry, customer-service and payment-administration activities.

2. Information we collect

Depending on how you interact with us, we may collect your first and last name, phone or WhatsApp number, optional email address, booking dates, guest numbers, room allocations, day-visit details, enquiries, booking source, notes or special requests, and customer-service history.

For payments, we may record payment status, amount paid, payment reference, provider transaction identifier and related booking information.

Alberton Guesthouse does not need to store your full payment-card details when you pay through a third-party payment provider such as PayFast. Payment credentials entered on the provider’s checkout are handled by that provider.

3. Why we use personal information

We use personal information to check availability, create and manage reservations, prevent double-booking, process or reconcile payments, communicate booking information, respond to enquiries, keep customer and booking records, provide customer support and operate the guesthouse.

We may also use records for reasonable accounting, fraud-prevention, security, dispute-resolution, legal and regulatory purposes.

We do not intend to use booking contact information for unrelated direct marketing unless a lawful basis exists and any required consent or opt-out requirements are met.

4. Booking CRM records

Alberton Guesthouse maintains a customer record so that reservations, day visits, enquiries, payment status and previous interactions can be connected to the correct customer. A phone number may be used to identify and reuse an existing customer record and reduce duplicate CRM entries.

5. Who we may share information with

We may share only the information reasonably required with service providers that help us operate the booking service, website, hosting, email delivery and payments.

Where PayFast or another payment provider is used, relevant booking and payment information may be exchanged with that provider to initiate, verify and reconcile the transaction.

Where a reservation originates from or is synchronised with Booking.com, Airbnb or another booking channel, information may also be processed through that platform subject to its own privacy terms.

We may disclose information where required or permitted by law, or where reasonably necessary to protect rights, safety or property.

6. Email and WhatsApp

Email is optional for customers. Where an email address is provided, Alberton Guesthouse may send transactional reservation, payment or cancellation messages.

For V1, WhatsApp is not sent automatically by our server. The website may generate a pre-filled WhatsApp message that the customer or management chooses to send manually.

7. Security

We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, alteration, destruction or disclosure. No online system can be guaranteed to be completely secure, and safeguards are reviewed as the platform develops.

8. How long we keep information

We retain booking, payment, enquiry and customer records for as long as reasonably necessary for the purposes described in this policy, including customer service, accounting, security, dispute handling and applicable legal or regulatory obligations. Information that is no longer reasonably required should be deleted, anonymised or securely archived as appropriate.

9. Your rights

Subject to applicable law, you may ask whether we hold personal information about you, request access to it, ask for inaccurate information to be corrected, and request deletion or objection where legally available.

You may also raise a concern with Alberton Guesthouse about how your information has been handled and, where applicable, lodge a complaint with South Africa’s Information Regulator.

10. Cookies and technical data

The public booking experience may use normal technical mechanisms required to operate forms and sessions. The management dashboard also uses authenticated sessions. If analytics, advertising cookies or additional tracking technologies are introduced later, this policy and any required consent controls should be updated before those tools are enabled.

11. Children

Day-visit bookings may include the number of children attending, but the booking is expected to be made by an adult or responsible person. We do not intentionally require a child to create an account or directly submit their own personal information through the current booking system.

12. Privacy requests

Privacy requests can be sent to info@albertonguesthouse.co.za. Please include enough information for us to identify the relevant booking or customer record.

This policy is intended to reflect Alberton Guesthouse’s current V1 data flows and POPIA-oriented privacy practices. Formal compliance responsibilities, including Information Officer/PAIA requirements where applicable, should be confirmed with a South African compliance or legal professional.
